Responsibilities GENERAL SUMMARY/ OVERVIEW STATEMENT: This position is responsible for supporting the clinic practice in Radiation Oncology, with overall responsibility for maintaining efficiency of patient flow for consults, follow ups, and on-treatment visits. Responsible for greeting patients in an appropriate manner, escorting them into the exam rooms, and taking vital signs. Assists with routine procedures within the practice as necessary. Provides clerical support, patient assistance, patient scheduling, and orders supplies. Responsible for answering phones and communicating with transport and ambulance companies. Triages patient and physician requests and troubleshoots complex communication and scheduling issues. Responsible for clinic flow, room turnover, and communication with clinical staff. PRINCIPAL DUTIES AND RESPONSIBILITIES: A.Patient Care Activities 1.Greets all patients and enters appropriate information in the computer system. 2.Schedules and confirms patient appointments including reminder calls and follow ups. 3.Assists, as needed, with patients transportation needs, communicates the patients radiation schedule and any changes to all those who need to know. Keeps daily list, and notifies transport and ambulance companies of patients status. 4. Instruct patients on medical history and other symptom forms. 5.Manages clinic flow, escorts patients into exam rooms, turns rooms over in a timely way. 6.Assists with procedures as appropriate such as GYN exams and phlebotomy. 7.Assists patients physically as appropriate. 8.Other duties as assigned. B.Clerical Skills 1.Answers multi-extension telephone. Triages phone calls, using judgment to the nature and urgency of the call. Requests assistance from Lead Secretary, staff nurse or MDs when needed. 2.Acts as liaison between nurses, physician staff, radiation therapist and other staff. 3.Prepares charts and ensures that all appropriate information is available in a timely manner. 4.Retrieves charts from the files or treatment machines for patients to be seen and reviews chart to ensure that all paperwork is present and in proper order. Places charts at appropriate treatment site and returns to appropriate desk. 5.Maintains patient records in a neat and orderly manner. 6.Utilizes the computer and develops increased skills on the BICS, ARIA, CAS, Precipio and other computer systems. 7.Responsible for filing, mail distribution, photocopies, faxes, and maintaining patient education material. C.Supplies 1.Responsible for assisting in ordering, and stocking supply cabinets and maintaining exam rooms and recovery room. 2.Picks up supplies, equipment, and pharmacy orders as needed 3.Serves as liaison and assists with the ancillary services and other departments that serve the unit. D.Personnel Management 1.Keeps informed of personnel policies and incorporates them in personal practice as needed. 2.Understands performance expectations and strives to meet those standards through periodic formal or informal conferences with his/her direct supervisor. E.Education 1.Attends and assists with education programs for learning new skills, practices and trends to improve functioning of the unit and patient care. 2.Assists in the orientation of new staff and residents.
