Position Summary:

  • A WHN Referral Specialist, (RS), ensures that referrals for medical care and other healthcare and wellness-promotion services recommended by WHN clinical providers, that are not available directly through WHN, occur in a timely, orderly, and predictable manner. This person helps promote continuity of patient care by assisting with the management of patient referrals, prior authorization requests and telephone messages.

Essential Job Duties:

  1. Message & Referral Management * (85%):
  • Prioritizes patient messages, referrals, and requests for prior authorizations according to their urgency.
  • Develops and maintains data management systems, e.g., a tickler file, which enhances his/her capability to track patient referrals, authorization requests or messages effectively and efficiently, thereby ensuring the provision of comprehensive health care services to WHN patients.
  • Maintains and routinely updates patients' medical records with documentation related to referrals and phone messages that is pertinent, appropriate, and concise.
  1. Patient Services * (5%):
  • Educates and/or advises patients regarding care related issues, (within the scope of his/her training and job duties), in a safe, effective, and appropriate manner.
  • When indicated, works with the Practice Manager to function as an internal patient advocate.
  1. Other Duties/Responsibilities (10%):
  • At the request of the Practice Manager, assists with the development or revision of protocols related to message and referral management.
  • At the request of the Practice Manager, collects, aggregates, and displays data for Quality Assurance monitoring, Quality Improvement activities, reports, clinical plans, or other program efforts.
  • Prepares reports and other documentation as required.
  • Attends meetings and training sessions as required.
  • Conducts all activities in compliance with applicable laws, regulations, standards, and WHN policies and procedures including Blood and Body Substance Precautions.
  • Executes other verbal or written specific assigned tasks, requiring similar or lesser skills and abilities, as required with regard to the WHN's daily functioning.

Requirements

Required education:

  • Graduate of an accredited Medical Assistant Program/Certification required

Skills/Qualification/Requirements:

  • 1-3 years preferred experience in a medical office
  • Strong customer service skills
  • Good communication skills; verbally and written

Experience level:

  • EMR systems: 1 year (Preferred)
  • Vital signs: 1 year (Preferred)

License/Certification:

  • BLS Certification (Preferred)
  • Certified Medical Assistant (Preferred)

Schedule:

  • 8 hour shift
  • Monday to Friday
  • No weekends
  • Overtime

Work Setting:

  • Clinic/Primary Care
  • In-person

Work Location: In person

Ability to commute/relocate:

  • Franklin, IN 46131: Reliably commute or planning to relocate before starting work (Required)
